Who is it for & Do i need it?

BonAcc is an online accounting software but more importantly an accounting service which has been exclusively designed for:confused accounting?

- Small Businesses
- Freelancers
- Consultants
- Contractors


What does this mean?

When we say “small businesses” we don't mean medium or large businesses that are officially described as SME’s (small and medium, enterprises), but normally a family/individually owned business operating as a sole trader, partnership or small limited company and turning over less than £1.35 million a year.

For this reason, the BonAcc accounting system or software has been designed only for businesses that:

- Use the Cash Accounting Scheme for VAT or

- Use the Flat Rate Scheme for VAT or

- Are not registered for VAT and operate below the VAT threshold

Do i need it / Is it suitable?

The real question should be, do you want to make life easier? Most people would answer yes to this and here is why...

- No need to be cluttered with excessive paperwork, invoices, bills, receipts simply add them then dispose of them if you feel it's neccesary

- You won't need to pay an expensive accountant

- You won't need to spend hours researching and finding a local, cheap and reliable accountant

Computer requirements

You must have a windows based operating system (XP service pack 2 or above /Vista or Windows 7) and a broadband connection to use the BonAcc Online Accounting Software. If you meet the above criteria, you can join BonAcc

What if I use invoice accounting for VAT?

If you use VAT invoicing accounting, which is when you account for the VAT on the invoice date, not when you pay/receive money, unfortunately the BonAcc system does not currently support this. This is because we do not want to deflect from dealing with genuine small businesses and have seen so many Accounting Practices give less attention to the small businesses as larger businesses often produce higher fees.

However, you may currently use the Invoicing VAT Scheme but be eligible to change to the Cash Accounting for VAT Scheme. There are some cases when it would be detrimental to change to Cash Accounting, for example if you are a retailer and receive payment in full at the point of sale. You would need to be aware of the advantages and disadvantages before deciding, so please read HMRC’s brief on Cash Accounting at:

Supported VAT schemes

If you are not registered for VAT then all of these complexities will be hidden from your system. If you operate a Flat Rate VAT Scheme, then the system will automatically take this into account and produce your VAT returns accordingly. If you operate the Cash Accounting VAT Scheme, the system will guide you through the collection of VAT amounts and produce your VAT returns accordingly.

You won’t need to learn ledger codes, transaction codes or customer codes - all of the transactions are recorded in plain language.

Other Specialised VAT schemes

BonAcc does not support specialized VAT schemes such as retail accounting nor does it support other specialized VAT schemes.

CIS (Construction Industry Scheme)

If your business falls within the Construction Industry Scheme (CIS) - no problem - you will be
guided through special processes to account for payments, receipts and CIS amounts deducted when recording your income/payments.

Year End

At year end we will ask you to complete a simple questionnaire. Certified Accounts are then produced by a Chartered Accountant*. All tax returns will be completed for your signature before submission to HM Revenue & Customs.

AML (Anti Money Laundering Regulations)

All new subscribers who wish to join will be subjected to checks under the
Money Laundering Regulations Act 2007.

*All Accounts and technical correspondence will be carried out by an Accountant who has Chartered status within a member of one of the Accounting Bodies represented by the CCAB (Consultative Committee of Accounting Bodies). The Accounting Bodies represented by the CCAB are:

  • - The Institute of Chartered Accountants in England and Wales (ICAEW)

  • - The Institute of Chartered Accountants of Scotland (ICAS)

  • - The Institute of Chartered Accountants in Ireland (ICAI)

  • - The Association of Chartered Certified Accountants (ACCA)

  • - The Chartered Institute of Management Accountants (CIMA)

  • - The Chartered Institute of Public Finance and Accountancy (CIPFA)

Tax Investigation Insurance specialists

This will begin on the 1st day of the following month in which you join and is subject to you signing a form of authority for Bonacc to act as your agent with regards HMRC. Please note the exclusions, the main one being you must submit returns by the date due and if they are late, you then lose your cover.

Our Tax Investigations Service is fully backed by an Insurance Policy, which the practice has taken out with Abbey Tax Protection.  The Service will commence on joining our practice and will cease in the event you were to leave Bonacc. We will be responsible and have the discretion for making claims under our Policy and there is a maximum Limit of Indemnity of £75,000 in respect of our professional fees for any one claim. Clients will be responsible for any fees that we cannot recover from our Insurers.

HMRC Enquiries
under IR35

The Service covers HMRC disputes into the declaration on an IR35 Return.  However, there must be a written Contract for Services in respect of the liabilities which are being disputed.  The Contract must have been strictly followed and there must be a reasonable prospect of successfully contesting the Revenue’s allegations.


The Service covers PAYE, P11D and NIC disputes and the trigger point is the issue of a letter, assessment or notice by HMRC, following a Compliance visit, providing there is a prospect of reducing the alleged liabilities.


The trigger point is the issue of a written decision or assessment by HMRC, following a control visit, providing there is a prospect of reducing the alleged VAT liabilities.


The main exclusions in our Service are as follows:

  • Claims arising where the annual Returns/accounts are submitted “late”; i.e. outside the
    time parameters set out in Taxes Management Act 1970.
  • HMRC Specialist Investigations, Civil Investigations of Fraud, Criminal Investigations
    Sections and Code of Practice 8 and 9 cases.
  • Fees incurred prior to the written acceptance of a claim.
  • Enquiries and disputes existing at the time you subscribe to the Service.
  • Routine compliance checks conducted by HMRC where there is no statutory enquiry notice issued, including Employer Compliance and VAT control visits.
  • Enquiries and Disputes following a voluntary disclosure of irregularities made to HMRC
Enquiries into tax planning arrangements where HMRC have allocated a Tax Avoidance Scheme Number.

  Business Legal Helpline- 24Hour, 365 day a year access
